Booking Policy

By scheduling an appointment with U.S. Notary Authority, you acknowledge and agree to the following:

  1. All fees must be paid prior to service, unless otherwise arranged in writing for approved B2B clients.

  2. A government-issued photo ID is required for every signer at the time of notarization.

  3. Documents must be complete, with no blank essential fields.

  4. Signers must be physically located within the State of Pennsylvania for in-person notarial acts.

  5. For Remote Online Notarization (RON), signers must have:

    • A valid ID

    • Stable internet

    • A device with audio/video capability

    • Ability to pass KBA + credential analysis

    • Signer may be anywhere in the United States

  6. Travel fees, printing fees, after-hours fees, and administrative fees may apply depending on service type.

  7. All loan signing appointments require full document readiness at least 2 hours prior to signing unless otherwise approved.

Cancellation & Rescheduling Policy

Consumer Appointments (GNW, RON, Mobile Notary)

  • Free reschedule with at least 12 hours’ notice.

  • Cancellations with less than 12 hours’ notice incur a $25 cancellation fee.

  • No-shows incur a 100% service fee (travel + notarization fees if applicable).

Loan Signing Appointments

  • Signing services & title companies set their own fee rules with us that vary from business to business - they are obligated to pay out agreed upon terms after service.

  • For direct title clients, cancellations

    • before documents have been printed incur a $50 opportunity cost fee for holding the time.

    • same-day after documents have been printed incur a $100 print fee + any travel already performed.

  • If the signer no-shows, the full fee is billable unless otherwise agreed upon.

No-Show Policy

A “no-show” is defined as:

  • The signer is more than 15 minutes late without communication

  • Missing or invalid ID

  • Signer refuses or is unable to sign

  • Technology failure on the signer’s end (for RON)

For all no-shows:

Full fee is due for mobile + GNW
✔ For RON, full fee is due after session link has been generated
✔ For loan signings, industry-standard full fee applies (unless SS dictates otherwise)

Refund Policy

Due to the nature of notarial work, all notarization fees are final once the notarial act is completed.

Refunds are only issued when:

  • A duplicate booking was made

  • A payment was made in error

  • A service was cancelled before any travel or preparation occurred

Refunds do not apply if:

  • The signer fails ID verification

  • The document is incomplete

  • The signer refuses to proceed

  • Technology failure is on the signer’s end

  • The notarial act is prohibited by law

Terms of Service [TOS]

By using the services provided by U.S. Notary Authority (“Company”), you agree to the following terms:

  1. Notaries are not attorneys and cannot provide legal advice.

  2. The Company reserves the right to refuse service when:

    • The signer appears unwilling or coerced

    • The document is incomplete

    • Identification is insufficient

    • Fraud is suspected

  3. Fees are disclosed prior to service; additional fees may apply for:

    • Printing

    • Travel

    • Wait time

    • After-hours appointments

  4. Clients are responsible for ensuring documents are correct for their intended use.

  5. The Company is not responsible for:

    • Recording documents

    • Filing documents

    • Drafting document content

  6. Remote Online Notarization services comply with Pennsylvania law and MISMO-compliant identity verification.

  7. Loan signing services follow the Notary Signing Agent Code of Conduct and NNA best practices.

Privacy Policy

U.S. Notary Authority values your privacy.
We collect only the information necessary to:

  • Verify identity

  • Complete notarial acts

  • Maintain RON audit trails

  • Communicate with clients

  • Comply with Pennsylvania state law

We do not sell, trade, or distribute client information.

Data may include:

  • Name & contact information

  • ID verification results

  • Documents uploaded for signing

  • RON session video/audio (stored per state retention rules)

  • Payment information (processed through secure third-party platforms)

Your information is protected using encrypted systems and industry-standard security.

Service Limitations Disclosure

  1. Notaries cannot provide legal advice or select documents.

  2. Notaries cannot explain the legal effect of documents.

  3. Notaries cannot notarize documents that are incomplete or contain blanks.

  4. Notaries must refuse service if fraud or coercion is suspected.

Electronic Records & Signature Disclosure

By using Remote Online Notarization or electronic notarization services, you consent to:

  • Conducting the transaction electronically

  • Storing documents electronically

  • Using electronic signatures and seals

  • Identity verification via credential analysis + KBA

  • Video/audio recording as required by PA law

You may withdraw consent at any time, but doing so may delay or prevent completion of the notarization.

Platform & Technology Disclaimer

  1. The Company is not responsible for connectivity issues, device malfunctions, or user-side technical failures.

  2. Fees may still apply if a session cannot be completed due to client-side issues.

Payment Policy

  1. Payment must be made before service (unless a B2B arrangement exists).

  2. Accepted payments: all major credit cards, ACH, invoice, Apple Pay, Zelle, PayPal & Cash App.

  3. Returned payments incur a $25 fee.
